The tickets’ digital journey – from booking to ERP system

Acubiz and travel agency ATPI have partnered to streamline travel expense management. Their combined solution seamlessly integrates flight bookings with expense tracking in a company's ERP system. ATPI ensures optimal trip planning, while Acubiz digitizes the Acubiz expense process, reducing manual work and providing clearer expense overview.

TL;DRAcubiz and business travel agency ATPI have integrated their systems so that airline bookings automatically flow into the expense management process: eliminating manual receipt handling for travel costs. Finance teams receive a complete, digital audit trail from booking confirmation to ERP posting, with no manual steps in between.

The partnership between Acubiz and the business travel agency ATPI helps companies with a seamlessly digital flow from booking of airline tickets to travel expenses in the ERP system. Today many mutual customers benefit from fully integrated digital solutions.

Acubiz collaborates with many travel agencies, whose cooperation with the global business travel agency ATPI goes back many years. ATPI specializes in the maritime industry and ensures that seamen and other offshore employees arrive at destinations around the world – at the right time and at the best price. It requires close cooperation with the customer to plan the trips optimally and in good time – otherwise travel expenses can be a negative surprise, says Kim Fuglsang, CEO at ATPI Denmark:

“Traditionally, we have been focused on creating savings for the customer through good planning to ensure the best airfares. We will continue doing this, but through the partnership with Acubiz we will create a digital comprehensive solution for our mutual customers within travel solutions. With increased overview and efficient internal processes across departments, companies can achieve even greater savings.”

The final break with expense reports

Many organizations have digitized the process. There's just a paradox here, because many of the apps that's available for managing expenses is based on the idea that the employee needs to do a traditional expense report.

TL;DRMany expense apps have digitized the traditional expense report without actually replacing it, preserving the same batch-processing logic that creates month-end backlogs and complicates error correction. Acubiz argues for a transaction-based approach where each expense is registered and processed individually in real time, eliminating the structural inefficiencies of the old report model.

If you’re responsible for, or work in a finance department then you’re probably interested in how your business spend is managed? You’re probably also interested in how you can contribute to increase employee productivity across your organization?

Employees hold expenses on a regular basis, when they do their job. With the right app for managing expenses, loads of time can be freed up. Simultaneously, you’ll obtain greater control and increased insight into employee related expenses.

The secret to success is, that you need to find an app that has made the final break with the idea of traditional expense reports.

Shelve the expense report – go transaction based

Mileage documentation requirements

For tax-free refunds on work-related car use in Denmark, proper mileage documentation is vital. SKAT sets the documentation standards which include details like name, address, travel date, start and end points, kilometers traveled, and more. While spreadsheets are common for tracking, Acubiz offers a more efficient, GPS-enabled solution that ensures compliance with SKAT's requirements and streamlines the mileage refund process.

TL;DRSKAT sets specific documentation requirements for tax-free mileage refunds in Denmark, including name, address, CPR number, travel date, start and end points, kilometers driven, and reimbursement rates. Acubiz provides a GPS-enabled digital mileage solution that automatically captures these required fields, replacing manual spreadsheet tracking with a compliant and efficient digital process.

Do you need an overview of your fuel refund options? Read more below and become more aware of both SKAT’s requirements for your mileage documentation and on Acubiz’ solution for easier mileage registration.

If you use your own car for work-related purposes, you have the opportunity to get tax-free refunds from your employer, as well as if you are self-employed you have the option of mileage allowance. However, the tax administration office in Denmark (SKAT) requires mileage documentation, and it can additionally be a very slow and difficult process to keep track of your own mileage.

What requirements does the tax administration have for your mileage documentation?

Recently, I’ve been very interested in how Robotic Process Automation (RPA) can be applied in various finance processes. RPA is a quite hot topic amongst leaders in finance functions. Obviously, this has something to do with its potential to effectively automate repetitive and time-consuming tasks and thereby enable the realization of significant cost savings or the release of resources for more value adding tasks.

How to get started?

You’ve probably been in this situation many times before: You’ve been up extremely early and you only got many miles of highway and some visits to the gas stations in front of you. Lucky for you, music and the open road fits perfectly – and on the road no one can hear you sing (luckily). Therefore, we have made you a playlist that you can listen to when you want to feel freedom on the road.

TL;DRAcubiz curates a driving playlist for salespeople and road warriors facing long stretches of highway between client meetings, with five song recommendations spanning Talking Heads, Paul Simon, Canned Heat, Tom Petty, and Johnny Cash. The post is a light-hearted nod to the reality that sales travel involves a lot of windshield time alongside the client meetings themselves.

Travel and employee expenses still count for around 10% of the budget in most companies. And this is only the expenses they have when they are out of the office. How and what a company is spending their money on is in constant change, and that’s why we think that it’s interesting to take a deeper dive into what’s trending right now.

A card revolution is coming

As of 14th September 2019, a series of new EU-issued security measures related to card payments, the so called SCA (Strong Customer Authentication), was planned to have become effective. However, the effectuation has been postponed, which I will touch upon in a minute. It’s still a good idea though, to familiarize yourself with the rules, as they will become effective at some point later.

TL;DRThe EU's Strong Customer Authentication rules, part of the PSD2 directive, require two-factor verification for online card payments and will significantly affect how companies book travel and manage corporate card transactions. Businesses that rely on cards for flight and hotel bookings on behalf of employees need to review their payment processes as these rules eventually come fully into force.

The new rules can force businesses, that uses corporate credit cards to handle online transactions (including payment for flights and hotels), to change their booking and payment processes. The new security measures are designed to prevent fraud related to online transactions, especially when it comes to payments with corporate cards. One way to secure this, will be to implement the use of a secondary identification factor, or two-factor identification, where PIN codes are required to process each transaction. A PIN code that only the card holder can obtain through a mobile device. As an example, it’ll be hard for secretaries to process flight and hotel bookings on behalf of others.

General Data Protection Regulation (GDPR) – It is now a reality

As GDPR rolls out, Acubiz celebrates two years of proactive preparation. With expert guidance from the Horten law firm, Acubiz navigated complex data agreements, highlighting the challenges of varied GDPR interpretations across EU countries. Adaptation remains key in this evolving data protection realm.

TL;DRAcubiz began preparing for GDPR two years before it came into effect on May 25, 2018, working with law firm Horten to develop data processing agreements early and treating the regulation as a competitive opportunity rather than a compliance burden. The process was complex given the varying interpretations of GDPR across EU countries, but Acubiz completed it with agreements in place for nearly all customers.

As of 25th May GDPR is now a reality. Acubiz looks back at two years of getting ready for this day. The law firm Horten has played an important role as adviser for the preparation of Acubiz’ data processing agreements – a process, which Acubiz’ CEO & Founder Lars de Nully initiated early on.

Partner of Horten law firm, Mads Nygaard Madsen tells that “The approach Lars de Nully has had to the GDPR is highly ideal – to see it as an opportunity rather than a burden.” Already two years ago, the two of them began outlining Acubiz’ data processing agreement, which was early compared to other organisations.

Affecting many areas
