Activate and customize Expense Co-Pilot
Co-Pilot is an AI assistant that suggests or completes the accounting of users' purchases based on how earlier purchases were accounted for. As an administrator, you activate Co-Pilot for the company, and then each user decides whether to use it.
🤖 How Co-Pilot works
Co-Pilot compares each new purchase with how similar purchases have been accounted for in the company. When there is a clear pattern, Co-Pilot suggests or fills in the account, VAT and internal accounts. A ⭐ star icon shows which transactions Co-Pilot has accounted for.
👉 Applies to: administrators who turn on, manage or follow up Co-Pilot.
⚙️ Step 1 – Activate Co-Pilot for the company
- Go to Administrate > Admin dashboard.
- Under Actions, click Enable in the Copilot box.
✅ Co-Pilot is now turned on for all users in the company. From now on, Co-Pilot starts collecting history to base its accounting on.
👉 Should someone not use Co-Pilot? Go to Administrate > Persons, open the person and turn off Co-Pilot on the Co-Pilot tab.
👤 Step 2 – Users turn on Co-Pilot
Once Co-Pilot is activated for the company, each user turns it on or off under My > Settings, on the Co-Pilot tab. Let your users know when you activate it.
📊 Get better suggestions
Co-Pilot learns from approved and corrected accounting. The suggestions get better when:
- ✅ the chart of accounts is up to date
- 📂 templates are used consistently
- 👥 users follow the same routines
- ✏️ incorrect suggestions are corrected
⚠️ Co-Pilot does not account for representation automatically. The user always fills in participants, purpose and external company name.
⚠️ If Co-Pilot is turned on, it can interfere with Account directly for company card purchases.
🚫 Deactivate Co-Pilot for the company
- Go to Administrate > Admin dashboard.
- Under Actions, click Disable in the Copilot box.
✅ Co-Pilot no longer accounts for purchases automatically. Accounting suggestions can still appear when users do their accounting.
