Archive service: access your data after the agreement ends

Have you ended Expense? With the archive service, you still have access to transactions, expense reports and accounting data, for example before an audit.

🗄️ What is the archive service?

When your agreement with Expense ends, you choose what happens to your data: the archive service, a zip file with the data or neither. With the archive service, you see everything just as before, but you can't change anything. Everything has the status Archived.

The archive contains:

  • 📁 Transactions and receipts
  • 📊 Expense reports and reports
  • 🧾 Accounting data

👉 Applies to: administrators at companies that have ended their agreement with Expense. Are you a user and need something from the archive, for example an old receipt? Contact your finance department.

⚖️ When do you need the archive?

  • Before an audit or a tax inspection
  • When you need to find an old receipt or expense
  • When you want to analyze earlier costs

🔐 How to access the archive

⚠️ Only administrators can access the archive.

  1. Go to the same address you used for Expense.
  2. Log in with your shared archive login, for example the finance department's email address.
  3. Search and filter, for example by date or type.
  4. Export what you need.

💡 Export important data in good time, so you have it saved on your own side.

  • 🔐 The data is encrypted in the archive.
  • ⏳ How long the data is stored depends on your agreement.
  • 👥 The archive has one shared login for the administrators. We suggest the finance department's email address.
  • 🗂️ Everything in the archive has the status Archived and can't be changed.
