How Expense Co-Pilot works

Co-Pilot is an AI assistant that suggests or accounts for your purchases automatically, based on how similar purchases have been accounted for before. You can always review and change the accounting.

🤖 How Co-Pilot works

  1. You photograph or upload a receipt.
  2. Co-Pilot compares the purchase with earlier accountings in your company.
  3. Co-Pilot suggests the account, VAT and internal accounts, or accounts for the purchase right away.
  4. A ⭐ star icon on the transaction shows that Co-Pilot has accounted for it.

👉 Applies to: you who use Expense, when your administrator has activated Co-Pilot for your company. It works both in the web and in the app.

⚠️ Co-Pilot is an AI assistant and isn't always right. Always check the account and VAT before you submit. You are responsible for the accounting being correct.

⚙️ Turn Co-Pilot on or off

  1. Log in to the web and go to My > Settings.
  2. Open the Co-Pilot tab.
  3. Turn on or off the features you want to use.
  4. Click Save.

✅ The setting only applies to your account.

💡 Your administrator activates Co-Pilot for the whole company. When that is done, you can turn Co-Pilot on or off for your own account. If you don't see the Co-Pilot tab, the feature isn't activated in your company.

✏️ Change an accounting that Co-Pilot has made

  1. Open the expense report and go to the purchase.
  2. Delete the accounting:
    • Android: press and hold the purchase, then tap Delete.
    • iPhone: tap the three dots, then Delete.
  3. Account for it again with the right account and VAT, and save.

✅ Co-Pilot learns from the change and suggests better next time.

📌 What Co-Pilot doesn't account for you

When What you do
🍽️ Representation Co-Pilot doesn't account for representation. It needs a human touch. Fill in participants, purpose and the external company name yourself. Read Register representation.
🆕 New types of purchases Co-Pilot has no history to go on. Account for it yourself.
📷 Hard-to-read receipts Take a new, clear photo or account for it yourself.

⚠️ If Co-Pilot is turned on, it can interfere with Account directly. Read Account directly in the Expense app.
