What is the ViDA Directive?
ViDA stands for VAT in the Digital Age and is the EU's comprehensive modernization of the VAT system. The initiative is designed to make VAT reporting more digital, reduce VAT fraud, and create more consistent rules across EU member states.
For businesses, ViDA introduces new requirements for digital reporting, electronic invoicing, and the handling of cross-border transactions. The aim is to make VAT processes more efficient and ensure that businesses and tax authorities work with more accurate and up-to-date data.
Although the new rules will be introduced gradually over the coming years, businesses should already begin considering how ViDA may affect their finance and accounting processes.
Why is the EU introducing ViDA?
The EU estimates that member states lose significant VAT revenue every year due to errors, fraud, and complex regulations. At the same time, many of the current VAT rules were developed long before the digital economy and no longer reflect the way modern businesses operate.
With ViDA, the EU aims to:
- Reduce VAT fraud
- Make VAT reporting more digital and automated
- Create more consistent rules across the EU
- Make cross-border trade easier
- Reduce the administrative burden for businesses over time
The Three Main Elements of ViDA
ViDA consists of three central initiatives designed to modernize the VAT system.
1. Digital Reporting Requirements
One of the most significant elements of ViDA is the introduction of digital reporting requirements for cross-border B2B transactions. Instead of relying mainly on periodic VAT returns, businesses will increasingly be required to report transactions digitally and much closer to the time they take place. The purpose is to give tax authorities access to near-real-time data, enabling errors and fraud to be identified more quickly.
For many businesses, this will create greater demands for high-quality data, automation, and integration between financial systems.
2. Electronic Invoicing
ViDA makes electronic invoicing a central part of the future of VAT reporting. E-invoices will become the preferred form of documentation for many cross-border transactions and will provide the basis for digital reporting. This means that businesses will increasingly need to be able to:
- Issue electronic invoices
- Receive electronic invoices
- Ensure that invoice data can be shared digitally with the relevant authorities
Businesses that already use digital invoicing processes will therefore be in a stronger position when the new rules take effect.
3. Simpler VAT Rules Across the EU
ViDA is also intended to make it easier to conduct business across the EU. Among other things, existing One Stop Shop solutions, also known as OSS, will be expanded. This will allow businesses in more situations to rely on a single VAT registration rather than registering for VAT in several member states. The aim is to reduce administration and simplify international trade.
How Acubiz and Compello Can Support ViDA Compliance
As VAT reporting becomes increasingly digital, automation and data quality become even more important. Acubiz helps businesses digitize the handling of expenses, receipts, invoices, and approval workflows, ensuring that documentation is captured correctly from the beginning.
Compello strengthens this setup through structured invoice automation and e-invoicing capabilities. This makes it easier to manage invoice data, streamline processing, and support future digital reporting and compliance requirements.
Together, Acubiz and Compello help businesses reduce manual administration, improve compliance, and give finance teams more time to focus on value-creating work.
What Does ViDA Mean for Businesses?
The way ViDA affects an individual business will depend on its size, industry, and international activities. However, many businesses will experience increased requirements relating to digitalization of financial processes, data quality, documentation, electronic invoicing, and automated reporting.
The earlier a business begins preparing its processes and systems, the easier the transition to the new rules is likely to be.
When Will ViDA Take Effect?
The EU has adopted ViDA, but implementation will take place gradually over several years. Different parts of the initiative will have different effective dates, giving member states and businesses time to adapt their systems and workflows. Businesses should therefore continue to monitor national implementation and the specific requirements that apply in the countries where they operate.
How Can Acubiz Help?
As reporting requirements become more digital, automation and reliable data become increasingly important.
With Acubiz, businesses can digitize the handling of expenses, receipts, invoices, and approval workflows, ensuring that documentation is captured correctly from the start.
This creates a stronger data foundation and makes it easier to meet future requirements for digital reporting and compliance.
At the same time, manual administration is reduced, giving finance teams more time to focus on tasks that create value.
